FREQUENT FRYER TRAVEL, LLC
Effective date: October 26, 2026
These Terms & Conditions ("Agreement") govern travel planning, advisory, and booking coordination services provided by
Frequent Fryer Travel, LLC ("FFT," "Advisor," "we," "us," or "our") to the client engaging our services ("Client," "you," or
"your").
1. Services Provided
FFT provides travel consultation, custom itinerary development, travel research, booking coordination, and related
advisory services. Services are limited to the package and scope selected and confirmed in the Client’s proposal, invoice,
or service agreement. Where booking assistance is included, FFT coordinates arrangements with independent suppliers
such as airlines, hotels, transportation providers, tour operators, and other vendors. FFT does not own, operate, or control
these suppliers. Services outside the agreed scope may incur additional fees, disclosed for approval before additional
work begins.
2. Client Responsibilities
• Provide complete and accurate information, including legal traveler names, dates of birth, contact details, travel
preferences, and requested booking details.
• Verify names against required identification and ensure all travelers have valid passports, visas, authorizations, and
other entry, exit, or transit documents.
• Verify applicable destination requirements, including health and vaccination requirements, with official authorities;
follow applicable laws and supplier conditions.
• Review flight confirmations within 24 hours of receipt and promptly report errors in names, dates, routes, or other
booking details. Airline cancellation, correction, and change options vary; free corrections or changes are not
guaranteed.
• Review other booking confirmations and itinerary documents promptly and respond to requests for approvals or
information by any stated deadline.
Clients are responsible for costs arising from inaccurate information they provide or errors they fail to report within the
required review period, except to the extent caused by FFT’s own errors or omissions. FFT may provide general guidance
but does not determine travelers’ eligibility for entry or boarding.
3. Payments, Planning Fees & Supplier Purchases
Payment of the applicable FFT planning or service fee confirms the Client’s engagement and authorizes planning services
to begin. Planning services are considered commenced upon FFT’s receipt of that fee; the fee becomes non-refundable at
that time, except as expressly provided in FFT’s Client Policies or required by applicable law. FFT’s professional fees are
separate from amounts charged by travel suppliers.
All travel-related purchases and reservations requiring payment must be made using a payment method provided and
authorized by the Client. FFT does not advance funds or use company payment methods to purchase travel services on a
Client’s behalf. Supplier charges are generally processed directly by suppliers in accordance with their payment terms.
Clients must maintain a valid payment method and sufficient funds, and meet supplier payment deadlines. Failed
payments or missed supplier deadlines may cause cancellations, price changes, or loss of reservations. Additional FFT
fees require disclosure and Client approval before the related additional work or charge.

4. Cancellations, Rescheduling & Refunds
FFT’s Client Policies and the applicable supplier terms govern cancellations, rescheduling, and refund eligibility. FFT
planning and service fees are non-refundable upon receipt as described in Section 3, subject to exceptions under the
Client Policies or law. Supplier refunds, credits, penalties, and fare differences are governed by each supplier’s conditions
and applicable legal requirements. Within the purchased service scope, FFT will provide reasonable assistance with
available cancellation or rebooking requests.
For qualifying emergencies, the Client Policies provide for waiving FFT’s standard rescheduling fee and applying the
original planning fee toward the same or substantially similar itinerary, provided new travel dates are confirmed within six
months of cancellation. Travel may take place after that six-month period, subject to availability and supplier terms.
5. Travel Insurance
FFT strongly recommends considering appropriate travel insurance, including cancellation, interruption, emergency
medical, and baggage coverage. Travelers decide whether to purchase coverage and are responsible for reviewing all
terms, exclusions, and limits. Depending on the selected service package, FFT may assist with arranging insurance upon
request. Travelers must submit and manage any insurance claims directly with the insurer. FFT may provide available
booking records on request but does not file, manage, or guarantee insurance claims.
6. Independent Suppliers & Limitation of Liability
FFT acts as a travel advisor and, where applicable, booking intermediary for independent third-party suppliers. Suppliers
are responsible for delivering the travel services they provide. To the extent permitted by applicable law, FFT is not
responsible for a supplier’s acts, omissions, cancellations, delays, or service failures, or circumstances beyond FFT’s
reasonable control. FFT remains responsible for performing its own contracted advisory and coordination services with
reasonable care. Nothing in this Agreement excludes or limits liability that may not lawfully be excluded or limited.
7. Itinerary Changes & Disruptions
Travel prices, schedules, availability, and services may change due to supplier decisions, weather, operational disruptions,
or other events beyond FFT’s control. FFT will communicate material changes that come to its attention when reasonably
practicable. Depending on the selected package, FFT may assist with alternatives or revised arrangements. Supplier
charges, fare differences, and other change costs remain the Client’s responsibility unless law or a written agreement
provides otherwise. Suppliers are responsible for operating their services during travel.
8. Travel Risks & Acknowledgment
Travel involves inherent risks including illness, injury, transportation delays, severe weather, political instability, natural
disasters, and unexpected conditions at the destination. Travelers are responsible for evaluating their personal
circumstances and the suitability of destinations and activities. FFT encourages review of relevant official travel advisories
before departure.
9. Privacy & Personal Information
FFT collects and uses information reasonably needed to provide travel planning, advisory, communication, and booking
services, and may share necessary information with travel suppliers and service providers to fulfill authorized
arrangements. Information is handled in accordance with FFT’s separate Privacy Policy and applicable privacy laws.
10. Governing Law & Dispute Resolution
This Agreement is governed by the laws of the Commonwealth of Virginia, except where applicable law requires
otherwise. Clients are encouraged to contact FFT directly with service concerns so the parties can attempt an informal
resolution. Unresolved disputes may be brought before courts with appropriate jurisdiction, subject to applicable law.

11. Amendments
FFT may update these Terms & Conditions and publish updated versions with revised effective dates. Updates apply
prospectively to future engagements unless otherwise agreed in writing or required by law. Material changes to existing
agreements will be communicated and agreed upon where required.
12. Acceptance of Terms
By signing a service agreement, electronically checking an acknowledgment and signing, or otherwise providing
documented assent, the Client confirms having reviewed and accepted these Terms & Conditions and the referenced
Client Policies. A Client arranging travel for others must provide accurate traveler information and obtain any necessary
authorization to act on their behalf.
13. Credit Card Authorization & Billing Disputes
FFT may use a Client’s payment credentials solely for travel purchases within the scope of the Client’s express
authorization. Transactions may be processed directly by suppliers and may appear on statements under supplier names.
Clients should review supplier charges and cancellation terms before authorization and promptly contact FFT about any
suspected discrepancies. Nothing in this Agreement restricts lawful billing-dispute or chargeback rights. FFT may retain
authorizations, booking confirmations, and service records to address billing inquiries and disputes.
14. Group Travel
For group arrangements, a designated organizer may act as the primary contact and is responsible for conveying relevant
information and deadlines to group members unless otherwise arranged. Each traveler remains responsible for their own
identification, documentation, authorized payments, and compliance with supplier requirements. Changes in group size,
rooming, transportation, or other arrangements can affect rates and availability; material extra coordination may involve
disclosed additional planning fees.
15. Entire Agreement
These Terms & Conditions, the applicable service agreement, FFT Client Policies, accepted proposal, and written
amendments together govern FFT’s services. If there is a conflict, an individually executed service agreement controls as
to the specific scope and fees agreed for that Client, except where applicable law requires otherwise.

Every trip is planned with care, personalized to your travel style, and designed to create unforgettable memories.
